Using Autowrite responsibly.
The standards that keep the platform and the personal information on it secure for everyone.
This Acceptable Use Policy ("AUP") sets the standards for using the Autowrite platform, systems, data, and networks operated by Automata Intelligence Inc. ("Autowrite"). It is designed to reduce risk and protect the personal information entrusted to the platform. This AUP is incorporated into our Terms of Use, and violations may result in suspension or termination.
01Purpose
The purpose of this AUP is to define acceptable and prohibited conduct so that Autowrite and its users can protect the confidentiality, integrity, and availability of the platform and the borrower information it handles.
02Who This Applies To
This AUP applies to every person who accesses the platform, including Brokers, their agents and staff, administrators, and any user acting under a Broker's account. Brokers are responsible for ensuring their users comply with this AUP. A separate internal acceptable-use standard applies to Autowrite employees and contractors.
03Account and Credential Security
- use individual accounts only - do not share credentials;
- enable and maintain multi-factor authentication;
- keep passwords confidential and use strong, unique credentials;
- lock devices when unattended; and
- report any suspected credential compromise immediately to security@autowrite.ca.
04Data Handling Obligations
- access borrower data strictly on a need-to-know basis and only for legitimate, authorized purposes;
- obtain all borrower consents required by law before uploading information;
- store and transmit personal information only through the platform and other approved channels; and
- never copy personal information to personal email, unmanaged devices, or unapproved cloud storage.
05Prohibited Activities
You must not:
- misrepresent your licensing status or use the platform to provide consumer-facing mortgage advice;
- upload unlawful, fraudulent, infringing, or malicious content;
- attempt to bypass security controls or gain unauthorized access to any account, system, or data;
- introduce malware, or conduct scanning, penetration testing, or vulnerability testing without our prior written authorization;
- reverse-engineer, decompile, scrape, or resell the platform or use it to build a competing product;
- use the platform to harass, discriminate, or carry out any unlawful activity; or
- place an unreasonable load on, or otherwise interfere with, the platform's operation or other users.
06API and Automated Access
Any use of our APIs or automated access must stay within documented rate limits and authentication requirements. You must not circumvent rate limits, throttling, or quotas; you must not use scripts or bots to access the platform except through interfaces we provide; and we may suspend access that threatens platform stability or security.
07Acceptable Use of AI Features
The platform's automated and AI-assisted features are tools to support your professional judgment. You remain responsible for reviewing outputs for accuracy and compliance, and you must not rely on automated extraction as a substitute for the verification and oversight your licensing obligations require.
08System Integrity and Security
You must not disable, circumvent, or interfere with security features, audit logging, rate limiting, or access controls, and you must promptly apply any security guidance we provide. Only approved, supported devices and software should be used to access restricted data.
09Monitoring
To protect the platform and comply with our obligations, we may monitor and log activity, including access to and use of borrower data. Use of the platform is subject to this monitoring, and audit logs may be reviewed during security or compliance investigations.
10Reporting Violations
If you become aware of a security issue, suspected breach, or violation of this AUP, report it immediately to security@autowrite.ca. We investigate all reports and respond in line with our Data Breach & Incident Response Policy.
11Enforcement and Consequences
We may investigate suspected violations and may suspend or terminate access, remove offending content, and take legal action where appropriate. We will cooperate with law enforcement and regulators as required. Where feasible, we will give notice before suspending access, but we may act immediately to address serious security or legal risk. On suspension or termination, handling of your data is governed by the Data Processing Agreement.
12Changes to This Policy
We may update this AUP from time to time. Updates will be posted here with a revised "Last updated" date and version, and continued use of the platform after changes take effect constitutes acceptance.
